How seed reads invoices and receipts

Most invoices arrive as PDFs that already contain real text. For those, your browser extracts the PDF’s text layer directly, which is fast and exact: the totals come from the document itself, not from a guess at pixels.

For a photo of a paper receipt, the image itself is read. Either way, AI then turns the raw text into structured fields: who you paid, how much, when, the tax, a suggested category and, for bills, when it’s due and whether it’s been paid.

The last step is always yours. You see every field before it’s saved, so a crumpled receipt or an odd layout costs you a quick correction rather than a wrong number in your records.

Tips for cleaner scans

  • Prefer the PDF when you have one. An emailed invoice PDF with a text layer reads more reliably than a photo of a printout of it.
  • Flatten and fill the frame. For paper receipts, lay them flat in decent light and get the total and the date in shot.
  • Capture on the day. Thermal receipts fade. Adding them from your phone’s home screen the same day takes seconds.
  • Link as you go. If the expense belongs to a job, link it to that task while you still remember which one.

What seed is not

A light ledger, not accounting software

seed keeps a clear record of what you spent and what you owe, with the receipt attached. It does not connect to your bank or card feeds, it doesn’t file taxes or produce tax returns, and it doesn’t integrate with QuickBooks, Xero or other accounting packages. If you need double-entry books, payroll or reconciliation, keep your accountant’s software and use seed to capture and organize the paper before it gets there.
